The Role

We are seeking a Purchasing Administrator to support the day-to-day procurement activities within a busy transport and logistics operation based in Castle Donington. This role plays a key part in ensuring the timely and cost-effective supply of vehicle parts, consumables, and operational materials required to keep the fleet and wider business running efficiently.

Working closely with the Purchasing, Fleet, and Operations teams, you will be responsible for processing orders, liaising with suppliers, and maintaining accurate records to support a smooth supply chain.

Key Responsibilities

  • Raise and process purchase orders for vehicle parts, fuel-related consumables, and general operational supplies
  • Track and expedite orders to ensure timely delivery and minimise vehicle or operational downtime
  • Liaise with suppliers regarding order confirmations, delivery schedules, and any delays or issues
  • Maintain accurate purchasing records, ensuring all orders and supplier details are up to date
  • Support stock control by monitoring inventory levels of key parts and consumables and highlighting shortages
  • Assist with sourcing alternative parts or suppliers when required, particularly in urgent or time-sensitive situations
  • Work closely with the Fleet and Maintenance teams to ensure parts availability aligns with servicing and repair schedules
  • Support the resolution of invoice discrepancies in collaboration with the Finance team
  • Assist in handling supplier issues, including damaged, incorrect, or delayed deliveries

About the Candidate

  • Previous experience in a purchasing, logistics, transport, or administrative role
  • Strong organisational skills with the ability to prioritise tasks in a fast-paced environment
  • Excellent attention to detail when processing orders and maintaining records
  • Confident communicator, able to liaise with suppliers, drivers, and internal teams
  • Experience raising purchase orders and tracking deliveries through to completion
  • Good IT skills, including Excel and internal systems (ERP/MRP experience desirable)
  • A proactive and flexible approach, with the ability to respond to urgent operational needs
