Fleet Coordinator
Location: Smethwick, Birmingham
Salary: Up to £36,000
Job Type: Permanent

2fawcett is recruiting for our client, a well-established business based in Smethwick, Birmingham, who are looking to appoint a Fleet Coordinator into a newly created position.

This is a fantastic opportunity to join a small, close-knit team where you can genuinely make a difference. As a brand-new role within the business, there is plenty of opportunity to take ownership, introduce new ideas and help shape how the fleet function operates moving forward.

The position is also mouldable around the right candidate. We are therefore interested in speaking with people who already have fleet experience, as well as strong administrators or coordinators who have experience within transport, automotive, vehicle leasing or a similar environment.

The Role

Working across the company’s vehicle fleet, you will take responsibility for the day-to-day coordination and administration of vehicles, drivers, leasing providers, insurance and associated fleet costs.

Your responsibilities will include:

  • Coordinating new vehicles joining the fleet, vehicle replacements and end-of-lease returns
  • Maintaining accurate fleet, vehicle and driver records
  • Liaising with leasing companies and comparing vehicle and contract costs to ensure value for money
  • Coordinating vehicle insurance and working with brokers to secure competitive cover
  • Arranging vehicle trackers, immobilisers and other equipment required for insurance and operational purposes
  • Managing vehicle servicing, MOTs, repairs and maintenance schedules
  • Arranging replacement and hire vehicles when required
  • Coordinating accident management, including communication with drivers, insurers and relevant third parties
  • Processing parking fines, penalty notices, congestion charges and other vehicle-related costs
  • Ensuring drivers understand and comply with company vehicle policies and fair wear and tear guidelines
  • Completing and maintaining DVLA driver licence checks
  • Supporting employees with company car queries and vehicle-related costs
  • Calculating Benefit-in-Kind figures and providing cost-of-ownership information
  • Working closely with the Finance team to support accurate P11D submissions
  • Monitoring fleet expenditure and identifying opportunities to reduce costs and improve efficiency
  • Building strong relationships with leasing providers, garages, insurers, brokers and other fleet suppliers
  • Reviewing existing fleet processes and helping introduce more efficient systems and procedures

What We’re Looking For

We’re looking for someone who is organised, commercially aware and comfortable taking ownership of a varied workload.

Previous experience within fleet management, fleet administration, vehicle leasing, transport, automotive or a similar environment would be beneficial, although the role can be shaped around the strengths and experience of the successful candidate.

You’ll ideally have:

  • Strong administration and organisational skills
  • Excellent attention to detail
  • Confidence dealing with external suppliers and negotiating costs
  • Good Excel and general IT skills
  • Strong communication skills
  • The ability to manage multiple vehicles, deadlines and priorities
  • A proactive approach and the confidence to suggest improvements
  • An understanding of fleet compliance, leasing or company vehicles would be advantageous

Why Apply?

This isn’t a role where you’ll simply inherit an established process and follow it. It’s a newly created position, giving you the opportunity to put your own stamp on the fleet function and become an important part of the business.

You’ll be joining a small team where your contribution will be visible, with the freedom to improve processes, build relationships with suppliers and develop the role as the business continues to grow.
