Role: Finance and Contracts Officer
Hours: 30 hours per week (4/5 days per week, working schedule to be agreed)
Pay: £15.00 per hour

About the role:

As Finance and Contracts Officer you will play a key role in our administrative team – working closely with our General Manager and Assistant Manager on a daily basis. You’ll be working in a busy office where no two days are the same and you will be expected to be flexible to the demands of the role.

Key work streams for the role are:

  • Managing the club’s accounting system (currently Xero), including data input, posting and payment of invoices, and production of month end P&L and balance sheet reports
  • Managing the club’s bank accounts, including reconciliation of statements and production of reports
  • VAT analysis and payment
  • Maintenance of timesheets and payroll records for all club employees
  • Maintenance of the club’s pension scheme
  • Subscription reconciliation and ledger entry
  • Receipt and reconciliation of cash from bar receipts, green fees, the club’s indoor golf studio, social events, and sundry income
  • Collection of monies due from members and outside agencies in respect of sponsorship, rent etc
  • Ensuring approved payments are made to suppliers, creditors and others in an efficient manner
  • Calculation and payment of commission to the golf professional and catering contractor
  • Reconciliation of monies, including competition entry fees, credit card payments, and preparation of bank credits for payment into bank
  • Responsibility for review and collection of unpaid Direct Debit collections
  • Responsibility for the upkeep of office filing systems
  • Calendarization of contractual arrangements – including utilities payments, insurance payments, buggy and greens machinery leasing payments and conducting on-going review of agreements in support of the General Manager to ensure best value.
  • Dependant on the successful candidate’s experience and skillset and preference, the role is expected to be four or five days per week, Monday to Friday, with days of work to be agreed.

Essential attributes

  • Experienced and confident working with accounting systems (Xero preferable)
  • Excellent communication skills
  • Proven IT skills – including use of Microsoft Office software
  • Experience of work in a busy office environment
  • Excellent planning and organisational skills
  • A flexible and can-do attitude and the ability to work under pressure
  • Confident dealing with member and visitor enquiries – in-person, on email and telephone
  • Comfortable dealing with golf club directors
  • Ability to work in a team

Desirable attributes

  • Full AAT qualification or part-qualified
  • Previous experience of VAT part exemption rules
